To help you to learn and practice Data Merge, we provide a free working template. In your downloaded zip file, you will find the InDesign template and the data source in. Let’s start by preparing the data source. You need to prepare a spreadsheet (CSV or TXT) following the exact specifications of Data Merge for InDesign. Click here if you want to use a simple spreadsheet (Excel, CSV, XML or export from your business application). Open a blank spreadsheet and use the first row to define your fields. Be sure to write the field names correctly. Add a field for every column and never duplicate a field name. Image fields should be defined with the symbol prefix (e.g. The symbol is a special character in Excel, so add an apostrophe before it if you’re presented with an error (e.g. The apostrophe will force the cell’s entire content to be considered as text. When all of the fields have been defined, the next step is to populate the table with your records. On a Mac system – Macintosh HD:Users:UserName:MyDocuments:Image.psd On a Windows system – C:\Users\UserName\My Documents\Image.psd Take care to make all image paths match your file system, for example. The populated table should next be exported as either a comma-delimited file (.csv) or a tab-delimited file (.txt). xls/.xlsx or alternatives! Perform the export in Excel by using File > Save As.īy exporting the data source as a. csv file, you’ll have to choose the encoding. If you’re using Libre Office, we suggest choosing Unicode UTF-16 encoding to display special characters correctly. Now close your spreadsheet and open InDesign. An Excel add-in can help you in this task. Now it’s time to set up the Data Merge InDesign panel. Open your InDesign document and the Data Merge panel via Window > Utilities > Data Merge > Select Data Source. Optional: You can change the data source import options. If you would like more detailed information on the topic of the data merge, please check out my book Data Merge and Styles for Adobe InDesign CC 2018, which works with the software CC 2018 and the latest versions of InDesign CC.To do this, check the “Show Import Options” box (shown below). If you want to work along with these projects, go to the link below the video to access the project files. With this foundation information, you will then move on to part two, multiple data merges and how it can be applied to business cards with GREP styles, linked images, or basic QR codes. Later, you will see how you can use the same CSV to place an address on documents that are the same size as number 10 envelopes or any sized envelope that your local print house recommends. The resultant merged InDesign file of letters will then be exported and convert it to a PDF that can later be split using Adobe Acrobat Pro DC for e-mailing to clients or remain as one document that can be sent to your printer and later collated with other documents for the mailer. The linked information fields will be previewed using the Data Merge panel, and you, the viewer, will observe how each step is accomplished via sub-menus and dialog boxes in both InDesign and Excel. The InDesign document will be a one page form letter that contains a unique address recipient’s name and other personal information fields within the generic text. And it is linked to the Adobe InDesign CC file via the Data Merge panel. This video, in part one, will cover how to utilize data from a Microsoft Excel file spreadsheet that is turned into a CSV, comma separated values, file also called comma delimited. Instead, it is easier to use InDesign’s data merge panel to save you time and money. If you have already designed a form letter for a client, a mailer, or communique in Adobe InDesign, you don’t need to convert it to a Microsoft Word document to create a mail merge. Through its parts and segments, you will be exploring what InDesign data merge is and how to use it for your upcoming projects. ![]() Welcome to the video Beginning Data Merge with Adobe InDesign CC.
